ScaffYard
ScaffYard is a trading name of Bond Labs Limited. scaffyard.com. These terms are between you and Bond Labs Limited.
ScaffYard is the desk a UK scaffolding firm runs on: your jobs, your team and their cards, the hire, the invoices and your records. You are responsible for the figures you send a customer.
A quote from this desk is indicative. It is not a site visit, not a survey and not a TG20 design. Labour, hire and kit come from the measure and rates you type.
You photograph the elevation when you quote and the scaffold once it is up. Both are your own photographs of the real site. The desk does not generate a picture of a scaffold, so nothing on your sheet is an impression of work that has not been done.
Quotes, invoices, kit lists, WhatsApp, print and email show the company name, logo, phone, email and VAT you put on Company. They must not show ScaffYard or Bond Labs Limited.
There are three plans. Small Yard is £39.99 a month, for up to 10 employees. Yard is £99.99 a month: up to 25 employees on Your team, 1 office login, and Xero, QuickBooks or Sage for your books. Big Yard is £199.99 a month: as many employees as you like, 5 office logins, Xero, QuickBooks or Sage for your books, the profit on every job, and a reply from us the same working day, Monday to Friday. On the other plans we reply within two working days. An employee is everyone on Your team who has not left, whether they run a gang, supervise or labour. You, the account holder, are not counted, and someone stops counting on the day they left. There is no charge per person on any plan. Xero, QuickBooks or Sage for your books, and the invoice spreadsheet, are on every plan.
In the app the plans are the Small Yard plan for up to 10 employees, the Yard plan for up to 25, or the Big Yard plan for as many as you like. The Yard plan carries up to 25 employees on Your team, 1 office login, and Xero, QuickBooks or Sage for your books. The Big Yard plan carries as many employees as you like, 5 office logins, Xero, QuickBooks or Sage for your books, the profit on every job, and a reply from us the same working day, Monday to Friday. Each figure is the whole price: no VAT is charged on it, and nothing is added at checkout. It is what you pay each month.
Every plan renews each month until you cancel. The minimum term is one month. Each order button says the plan’s price a month and that you are obliged to pay.
Bought in the phone app, a plan is sold and billed by the App Store or Google Play, at the price the store shows you before you confirm, which includes any VAT. It is charged to your Apple Account or Google Play account when you confirm, and it renews each month unless you cancel it at least 24 hours before the month ends. Cancel it in that account, under Subscriptions. A refund on it is asked for from the store.
Sold by Bond Labs Limited, registered in England and Wales, company number 17285766, 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. On the web, cancel in the Stripe billing portal. On iPhone or Android, cancel in Apple or Google subscriptions. You have 14 days to cancel a new distance contract.

Your jobs, quotes, kit and invoices are held against your account on our servers in London. They are yours. No other yard can see them.
Backup downloads a JSON copy whenever you want one: everything on the desk except the accident book, anybody’s next of kin, and the photographs and papers themselves. Restore puts back the jobs and the company card and replaces the whole book, it does not merge, so keep the copy you meant to keep.
Site photographs are deleted twelve months after you strike the job, the gang’s with them, or sooner if you delete the job. A photograph you have put on a scaff tag record stays with that record until you take it off, delete the record or delete the job. Closing your account deletes everything at once and cannot be undone, and cancels a card subscription first. Take a backup before you close it. A plan bought through the App Store or Google Play is held by the store, so cancel that in your store account.
A walkaround with nothing wrong is deleted 3 months after the day of the check, and one with a defect 15 months after the day it was repaired. A defect with no repair on it is kept.
Accident reports are kept for three years from the day the accident happened, or from the day it was written down if that is later, and are then deleted automatically. They are not in the JSON backup, so print the ones you want to keep before you close the account. Closing the account deletes the accident book with everything else.
Your near miss log is kept on the same three year clock, and the JSON backup carries it. A near miss is something that nearly went wrong where nobody was hurt: the log holds no health data and has no box that asks for any. What they wrote cannot be changed afterwards. What you write on it, and whether you have closed it off, can be, and every one of those changes is kept beside the record.
Your scaff tag records are in the JSON backup without their photographs, but restoring one replaces the jobs they sit on, so it clears them from the desk and does not put them back. Print the tag and photo pack from any job whose records and photographs you want to keep, before you restore and before you close the account.
The names, addresses, phone numbers and photographs you put in belong to your customers, not to you and not to us. In data protection law that makes you the controller of them and us your processor.
The law will not let you hand that data to us without a written contract binding us on eight specific points. So there is one. The processor terms form part of these Terms and you accept them when you open a yard. They say what we may do with your customers’ data, who else touches it, what happens if it leaves the UK and what happens to it when you close the account. If those terms and these ones disagree about data protection, those win.
Only put in what you need for the job. The desk is not built for health, biometric or criminal offence data and you must not put any in it.
The accident book is the one exception and it is the only one. If somebody gets hurt, what you or one of your team writes in an accident report may say what the injury was, and that is health data. It is allowed there and nowhere else in the desk, it is held under UK GDPR Article 9(2)(b) and DPA 2018 Schedule 1, Part 1, paragraph 1, and where the person hurt is not one of your team, under Part 2, paragraph 6 of that Schedule. The policy document those conditions require is on the processor terms. That one is ours as your processor: you are the controller, so you need an appropriate policy document of your own as well, and the same clause says so. Do not put health data anywhere else, including the note beside someone’s next of kin.
Use the desk for your own yard. Do not try to grant yourself a plan. Do not attack the service. Do not put unlawful content in jobs or notes.
We provide the software with reasonable care. We do not promise a particular hire win, a particular kit count, or that a customer will pay. Nothing here limits liability for death or personal injury caused by negligence, or for fraud.
For any other loss, our liability in a year is limited to the subscription fees you paid us in that year, or £39.99the price of one month of the Small Yard plan if you have not paid.

The desk works out roughly how far apart two sites are from a table of postcode districts, and where a job’s pin goes on a map from a table of every postcode, both held inside the app. Nothing about your customers or their addresses is sent anywhere to do it.
The streets on the job map, and on the map of the day’s jobs, are © OpenStreetMap contributors, and the map is drawn with Leaflet, under the licence below.

The forecast on the desk is Apple Weather’s, from Apple’s WeatherKit, shown as it comes. It is a forecast and can be wrong, and the desk never tells you what to do about it: whether a scaffold goes up, comes down or keeps its sheets on is your decision. The only figure that names scaffolds for wind is the one you set.
